#267 Planning Hackfest 2019

We should have a Council hackfest to:

  1. Create a vision statement to go alongside the mission and foundations (see #262)
  2. Develop and adjust our strategic plan
  3. ????
  4. Work on other business that benefits from high-bandwidth in-person interaction

My preference is for sometime in November this year. Ideally somewhere not snowy.

As I said on the council-discuss thread, I have a strong preference for December or between DevConf/FOSDEM. I'll be doing two jobs September through November, so it would be hard for me to fully participate.

I have a preference for Brno in november/december as my travel ability is more limited (I think). That said, I think both months can work, but I'd rather see us do early December to get the newest council members in place and to possibly have a new FCAIC on board as well. Going with November gives us a higher likelihood of "experienced hands" though, but I am not sure that should sway us. Brno is typically not snowy ... but I think we should pick our location based on travel distance for most people and travel limitations.

I don't think that'd matter. We won't know who the elected rep will be until 6 December, so that's essentially no time for them to plan travel (especially if they require a visa). I believe the D&I team is aligning their representative selection to the election calendar as well, so that person would have the same restriction.

Then we should either be early enough that the council is unquestionably present or late enough they are unquestionably present. I think it is tacky if this is effectively feeling like the last week of a term.

I am unavailable in December

Let's make this more concrete. What about the week of the 11th or 18th in November in Prague? Please respond if this does or does not work for you.

Week of the 18th would be good. Week of the 11th is doable but less ideal. Prague works for me, as I'll probably tack on a day to go to Brno and visit my manager.

Note that as of right now at least, flights BOS<>PRG leaving on Nov 8th are by far the most affordable.

12-15 Nov. I might attend LAS https://linuxappsummit.org/, that's why the week of 18th would be better for me.

The dates and the location both work for me. I need at least 15 days lead time to get my visa.

I believe either would work for me.

Either work for me, slight preference for the week of the 11th as I have to resched a dr appt if week of the 18th. One note is that it is a school holiday on the actual 11th in the US so slight pref for "end of the week" meetings so we could fly on 11th or 12th.

Okay, so, in the meeting today:

  1. We're planning on the week of November 18th, unless a really good reason for change comes up; week of the 11th as fallback.
  2. Bex to find specific venue in Prague
  3. Matthew to come up with agenda. This will be a 3-day event, like last time.

Please chime in if you have preference for which days of the week; we'll try to get that nailed down very shortly so everyone can book travel.

I'm fine with any days of the week. My holiday travel won't begin until the middle of the following week.

Update with the current status: we will meet 18–20 November in Prague. bex has sent emails to all Council members.
