Based on today's discussion on IRC, we have decided to do this event in the month of September. In India, we will target 2nd week of September and Jona may want to do it in later weeks of September in Albania.
Everyone and anyone is welcomed to join the efforts to do local FWD event during the month of September. More information will be published soon.
I had some discussion with @x3mboy in marketing meeting about publicizing the events, so that we can have good number of people to join in. It will be good if we start planning this well in advance so that we don't end up rushing on thing at last moment.

Yes, we need to write an article about this, so even other local communities can organize a Fedora Women Day or join the nearest FWD near their city. What date should we aim to publish the article? Maybe mid of August?
I'm planning to organize one event in Tirana, Albania and another one in Prishtina, but I'm still trying to finalize the dates.
@jonatoni I think the article asking for volunteers to organize in their local communities and for planning should be published in mid July. The article mentioning final dates for FWD events around the globe should be published in August last week i.e before FLOCK hopefully since the events are in September.
Once we have a basic outline for the event ready, we can out a call for volunteers to help organize FWD event in their local communities. This will help us with many events around the globe. Dates can be finalized depending on the region. I especially want us to have events in NA/ LATAM/ Asia/ Africa too, if possible.
Let's start putting the action items here and take/assign them, so that we all know well in advance who is going to do what and can accomplish on time. 1. Article asking for volunteers to organize in their local communities and for planning published by mid July. 2. I will create a wiki page for the global event and post about it on the magazine (or community blog) with instruction how to create a wiki page for the local event, open a budget request and how to earn the badge. I can post on the mailing list and create a ticket on the design team for the badge. If anyone else want to help me feel free to grab one of this tasks :)

I will open this ticket for council after the deadline mentioned for local events planning. We need to receive the all the detailed planning from the organizers with budget requirements so that I can put that in the council ticket.

@amsharma Yes, this would be the best procedure. You can file a print_and_swag_design ticket on the Design Team Pagure. When you change the ticket type, it will pop up with a template for you to fill out. It's not included in the template, but it will be good to mention that we want to use printers in EMEA and APAC for sure (there are different color schemes / patterns that need to be used for different regions in the world). Possibly NA and LATAM, but I don't know if any plans yet.

My observation was that it was very hard to get caught up on this ticket because there are so many comments and not a good way to scroll through it to find key information (e.g. if we want to ask someone for their opinion on one thing and they have to scroll through this entire ticket). I was thinking of something like this (example1.1, example1.2). It took a while for me to get caught up. But I am fine doing it one way or another.

I am confused on what this means. If an Ambassador wants to plan a Fedora Women Day event, does this mean they should bypass normal event organizing guidelines for budget proposal in their region? Do we as the Diversity Team need to collect all budget requests and forward them to the Council? Or are we charged with organizing a budget for things like t-shirts / stickers and distributing them across all participating locations? Knowing the Ambassador guidelines in NA and EMEA, this would be confusing. Since there is a budget line for diversity, it would be worth clarifying how this should work or how this was intended.
Could @mattdm or @bex clarify on this point? Should Ambassadors follow normal guidelines for organizing an event in their region or is this something we should receive and process from participating locations? It will help to know and understand how to inform Ambassadors to be successful in organizing a local event.

The Magazine is the one area of Fedora that I'm still active with during this summer, so I can assist in getting a Magazine post prepared (or if someone wants to write the post, I can help guide and provide editing assistance). We can aim to do this in late August, once we know the status of what events will be held and where.

@amsharma @jonatoni Before agreeing on a number, I'd like to have an estimate of how much was spent for the three events we held last year. If I remember right, there was one in Pune, Tirana, and Thessaloniki. The budget for the EMEA events should be somewhere in the imported Trac repository, but the only the ticket submitter will have access to view the tickets. I think @jonatoni is one of those, so she should be able to see her tickets. I'd be curious to know how much was spent for the Pune event from last year, even though it wasn't from Fedora's budget. Knowing these numbers will help add context for agreeing on a budget.
As a reminder, the D&I line item in the Fedora budget is $9000 USD. This information can be found on the budget website.

Ambassadors typically work on isolated events. There are some exceptions for region wide events, like FLISL.
FWD feels like a world-wide effort by Fedora's Diversity team. I hope you have a message you want presented and are going to provide materials and guidance for people holding the individual events. This way we get a network effect, world-wide participation, and a unified message sent.
Because of this, I believe Diversity should coordinate these events, acting as the budget holder and submitting a request to use the Diversity money in the budget. (Actually, I am not sure you need a council ticket here - you may just be able to spend the money directly ... let's work on that in an unrelated issue.)
An ambassador running an FWD event would be treated the same as any other person running an FWD event. Diversity should establish guidelines for the events, just like Ambassadors does for their events. I encourage you to borrow heavily from the Ambassadors for this, but to make it your own as needed.

Thanks Amita, will be careful with the deadline. Btw do we still agree with the deadline that @amsharma proposed (20 August) for regional events to open a budget ticket for their events? In this way we can open a council ticket on 21 August for all the events.
@all please check the wiki page where I have included the budget part and FAQ. Guidelines about budget are the same with Ambassadors program but adapted for our event. If you guys agree we can continue to publish the article on CommBlog that it is ready now, just waiting for your feedback.

@chhavi can you help us with a badge for FWD attendees, will be a very good way to measure the outcome of the event (for example how many people attended, how many were newcomers and how many of them were already contributors etc)

Btw the FWD badge for the attendees it is ready, we need to mention this at the article and also on the mailing list so the event organizers can give to me all FAS username to award it to people that will attend FWD. Here it is the badge.
