Optimal time to do the event
Shouldn't be against major event (festivals, conferences, etc)

Jona and I think March and April are good months for this
but we need to avoid following events (and possibly more)

  • Devconf
  • FOSDEM
  • Fedora Release Parties
  • LAS
  • GSoC and Outreachy timeline - ideally we would avoid the application round (as mentors can get busy reviewing applications)
    If anyone has more recommendation for things to watch, please share here

It'd probably be good to avoid the Beta and Final freezes on the Fedora Linux release schedules, too, as those will be busy times for mentors involved in QA, development, and release engineering activities. That basically takes out March and April, though, as well as September and October.

Preferred days:

  • Friday & Saturday
  • Saturday & Sunday
    We expect total duration to be 7-8 hours, so dividing it in 3-4 hours each days

@riecatnor hey, so would you have any input on which days work better for community members? (assumption derived from attendance on other events say Friday-Saturday vs Saturday-Sunday)

That basically takes out March and April, though, as well as September and October.

What do you think about early March or late April?

As @bcotton suggested, we should avoid Beta & Final freezes
here are the dates for those:

  • Beta Freeze: from Tue 2022-02-22 to Tue 2022-03-15
  • Final Freeze: from Tue 2022-04-05 to Tue 2022-04-19

@jonatoni and I had a call yesterday and April 1st and 2nd (or 2nd and 3rd) suits our timeline -- which also avoids Freeze!
Do we think that could be a possibility?

That would work, so long as we don't slip beta too far again. Seems like a reasonable risk to take, though.

For the Release Parties I notice we have the most attendance on Friday AM (EST). I would def suggest choosing Friday & Saturday over Saturday & Sunday. April 1st and 2nd seem good.

yes, it gives us 2 weeks of wiggle room. If beta slips for 2 weeks, we still won't be in the freeze timeline (if we go with April 1st and 2nd).

I will wait for 2 days and if I don't see any major -ve to the date,
I say we proceed with this.
Next step would be the request hopin access for those day -- which I will do in a couple of days (🤞)
