#327 Swag sponsorship request: Outreachy swag bags, sponsored by Fedora Community
Closed: Complete 3 years ago by riecatnor. Opened 3 years ago by jflory7.

Swag Only Request Template

  1. Full Name: Justin W. Flory
  2. FAS ID: jflory7
  3. Target Audience/Goal: Achieve more awareness and familiarity with the Fedora Project with Outreachy 2022 applicants who are not accepted for an internship with my community's organization.
  4. Event Date: Shipment on or after 30 April 2022
  5. Event Location: Month of March and April (Outreachy 2022)
  6. Estimated Number of People: 15-20 swag bags
  7. Swag Needed/Suggested: Standard issue of mixed Fedora/open source stickers. Preferably, shipments fit into envelopes since they would go to multiple continents. So less size, fewer customs checks, fewer hold-ups.

Hi, I wanted to add more details to this request and share thoughts on what it could look like and mean.

I am coordinating an Outreachy internship round for another community, which has many competitive applicants. We only have funding for one intern in our community, so many people will not be selected. But many people have made first and/or significant contributions to our community project, so it would be nice to recognize them for that. In my current position, I do not have easy access to swag, stickers, or other cool open source goodies to send out.

Previously, I know this is something we did for a previous Outreachy round for Fedora. I thought it could be an interesting idea to offer a swag bag sponsored by Fedora Project to our community applicants who contribute in competition for the internship. This achieves my wish to commemorate a significant contribution with recognition, and it also grows more awareness for Fedora Project, both as an open source project and a fellow Outreachy participant. It could also be a way to raise awareness for Outreachy applicants who may apply for an internship in the next round.

I don't know if there is a precedent for this kind of request or sponsorship. But I thought it could be something to trial. With each swag bag delivered, I would include a personal note sent over email to each applicant, acknowledging their participation and the Fedora-sponsored swag bag. I could include a paragraph about Fedora in the email.

Thanks for consideration! The delivery time for these swag bags would be on or after 30 April 2022, if approved.

Hi @jflory7 thanks for opening this ticket! The Mindshare Committee reviewed the request in our meeting yesterday. Here are our notes:
- We are wondering what project you are mentoring on? Is Fedora involved somehow? We like the idea of providing some resources by email to the applicants, but maybe there is a more concrete way to get them engaged with Fedora?
- I have worked with the Cool Stuff Store to put together a "small swag pack" with four items- tumbler, lanyard, 2" sticker, and keycap sticker sheet. This would be a good fit and we can provide the applicants with a code to claim their swag. Side note: your idea has inspired us to want to do similar for our Outreachy applicants this round!

I am mentoring with UNICEF Office of Innovation on the Open Source Inventory website. This website is used with open source mentorship and coaching in the UNICEF Innovation Fund. There, I contributed a page highlighting Fedora Linux both as a Digital Public Good and as a community of practice. In late March, we had many strong applicants for our Outreachy project and suggested to people who had not begun working on a task to explore Outreachy projects in other communities, like Fedora.

This would be a great fit for me too. Is there a way for me to help further with this request?

:tada: :100: :tada:

It looks really awesome and hopefully they will encourage them to next rounds. +1 to me.

Hi @jflory7 Mindshare discussed this in our meeting earlier today, seems like we are good to move forward. I will contact you by email with details.

One addition for the email to the applicants, please invite them to the upcoming release party!

Hi Mindshare, thanks for approving this request!

To follow up, there were 13 final applicants. I prepared an email draft and added a section thanking and introducing Fedora as the swag sponsor. I also added a link to the F36 release party. @riecatnor reviewed the email text earlier today. The emails with the redemption instructions will send on or shortly after 20 May with a note to redeem by 3 June.

Hi, to provide an update, I sent 13 emails to each of the applicants this morning with the instructions for redeeming their swag package. I asked all applicants to redeem their package no later than 3 June.

Additionally, I also came up with a social media promotion idea. I asked all applicants to post on social media with the hashtag #DPGSwagSwap and to tag both UNICEF Innovation and Fedora Project accounts in their posts. Hopefully we see some cool pictures across Twitter, Instagram, and LinkedIn throughout June. :grinning: :open_hands:

Another update here. The swag packages are starting to come in and the first social media posts are hitting the networks. You should be able to find them on Twitter and LinkedIn with the #DPGSwagSwap hashtag:
