What is the event and why should Fedora do it?
Southern California Linux Expo (SCaLE) is a Linux, free software, and open source conference that takes place in Pasadena, California.

Event Date:
SCaLE 20x – the 20th year of the Southern California Linux Expo – takes place on Mar. 9th-12th, 2023.

Description:
SCaLE covers a region that spans the west coast, but also includes many guests worldwide. We as Ambassadors see the event as a focal point that draws visitors from all over the state of California and around the world. Since this event is the only one of its kind in this geographical area, we can provide Fedora outreach and education to the Greater Los Angeles area. Most of the attendees are from locations that have and participate in Linux User Groups in their local states.

Each year, we bring forth the vision that Fedora is more than just another distribution. We interact with guests to see how they find Fedora useful, versatile, and feature-rich in their daily lives demonstrate how helpful the community is. Also the venue is in proximity to Pasadena, drawing locals and neighboring communities.

We plan to provide booth demonstrations of the distribution and to entertain feedback and discussion. Our goal is to educate attendees about the various spins and environments available. @paradoxguitarist recently submitted a talk and got approved.

Event Location:
The event primarily takes place at the Pasadena Convention Center.

Swag needs (and why):
T-shirts, stickers, pens, anything to encourage guests to stop by and visit.

In the past, installation media have been popular among visitors, many of them stopped by to try Fedora in their own machines. Since DVDs are kind of deprecated, we may want to have USB flash drives available to hand over upon request.

Hi @aacosta, thanks for opening this ticket. We can use Pagure to process this ticket while we continue to migrate our Pagure issues to GitLab.

Fedora does not yet have its final budget for 2023. In short, we don't have visibility into what our event funding will be this year, including for Flock. However, I believe the Mindshare Committee can safely repeat events we have done in the last year until we get the final numbers. I am working on a format to share this with the Mindshare Committee once the data is available.

I see four of you are Ambassadors and one is an Advocate. I believe the pre-requisites for large events are met. The Committee can vote on this ticket in our next scheduled meeting.

In the interim, a lead question for the proposer team: would swag be shipped directly to one of you or would it be shipped to the venue directly?

@aacosta Got it. We will need to use Fedora GitLab for a shipping ticket for @paradoxguitarist when the time comes. You and the SCaLE team can help us battle-test the new process for events as we get set up on GitLab.

During the meeting where we discussed this ticket, the wiki page linked from this ticket was a blank page and we could not see a budget. Now, it is there, so the Mindshare Committee needs to make a vote on this ticket. At least three +1 votes are required for this event to be approved.

I am also working with @lajuggler to see what we can do about updating the event box for the West Coast.

Note that this year, we will need to run through new processes to get funded travel approved by Red Hat for this trip. It is an extra legal step, but shouldn't be a blocker for this event. Anyone who is not employed by Red Hat will need to submit a B.E.A.R. form to help Red Hat comply with its legal and due diligence obligations to applicable laws related to anti-bribery and undue influence.

The total requested budget for this event is $3425.00 USD, which for a U.S. West Coast event of this size, it is pretty great. Big kudos to our West Coast Ambassadors for landing free conference passes and a booth for Fedora. This event looks well-organized and we have some sweet connections to make it a great spot for Fedora to be.

This request is APPROVED (+4/0/-0). Event owners are authorized to proceed with organizing the Fedora presence at SCaLE 20x 2023 within a $3425.00 USD budget. Event owners, please open a GitLab event requests ticket to request a swag shipment for the event.

Although I already know there is a strong track record of doing so for SCaLE, a dutiful reminder that an event report is required to move to the reimbursement stage once SCaLE concludes.

The swag order was placed for @paradoxguitarist today. The shipment should arrive by Monday, 6 March. The details of the order is in the Event Requests ticket on GitLab.

I booked the cheapest available hotel room with my Hilton Honors discount and it came to $1,177.59 (after taxes, but not including parking).

The SCaLE event reports are always so good. :heart_eyes: I feel as if I were there and I also appreciate the acute focus on capturing the feedback shared about Fedora by attendees. Congrats on winning the most memorable booth of SCaLE, Ambassador Team! And thanks for the write-ups, @vwbusguy!

Among the other Ambassadors, are more event reports anticipated? It would be great to put something up on the Fedora Community Blog, even if it were just a pointer to any/all other Fedora-related event reports about SCaLE.

I'll follow up with advice on how to proceed with reimbursement with the new GitLab process.
